The specific problem of multi-track conferences

A two- or three-day conference, with several rooms running in parallel and a choice of workshops, can't be run like a single-entrance event. The question is no longer just "who arrived this morning?" but "who is in which room, at which point in the program?" — and that question comes up several times a day, over several days.

Here's how to structure check-in for this kind of format without re-importing your lists every morning or losing track of attendance.

Separate general entry from per-session tracking

Good practice is to distinguish two levels of check-in, answering two different questions:

Entrance check-in, once a day or for the whole event: confirms the attendee has arrived on-site and picked up their badge. This feeds your overall attendance rate.

Per-session or per-workshop tracking, potentially several times a day: confirms who attended which workshop, useful for tracking engagement, per-topic attendance stats, or issuing proof of attendance for a specific session.

In practice, this means creating several separate check-in lists within the same event: a "general entrance" list, plus one per room or time slot. Each list keeps its own timestamps and statistics, while relying on the same attendee base imported just once beforehand.

A badge valid for several days

An attendee at a three-day conference shouldn't get a new QR code every morning. The same code stays valid for the whole event, working just as well for general entry on day 1 as for checking into any workshop on day 3. This continuity avoids badge mix-ups and simplifies the attendee experience, since they only need to keep track of a single code from start to finish.

Recommended setup

Before the event:

  • Import your attendee list once, for the whole conference
  • Create one check-in list per day for general entrance, or a single one if entry only happens on day 1
  • Create one check-in list per room or workshop if you want to track session-by-session attendance
  • If the program includes different groups (speakers, press, paying attendees, invited guests), use attendee groups to apply specific handling at the door

During the event:

  • Each room has its own scanning point, with access to its dedicated check-in list
  • Statistics for each list can be viewed independently, letting you compare attendance across workshops in real time
  • A centralized organizer view lets you see all lists in parallel, useful for live decisions (e.g. moving a speaker to a bigger room if turnout exceeds expectations)

After the event:

  • Export the overall attendance report (entrance) and per-session reports separately
  • Cross-reference the data to identify the most popular workshops, useful for planning the next edition

What this changes for your welcome teams

With several rooms running in parallel, you're probably mobilizing different people depending on the time slot, sometimes volunteers or short-term contractors. Rather than giving them full access to the event's setup, a dedicated access link scoped to their specific room or slot lets them check people in without seeing or changing the rest of the configuration.

One thing to watch out for

This setup assumes your check-in tool natively supports several independent check-in lists within the same event, each with its own statistics.
