How to digitize your event check-in
Say goodbye to Excel spreadsheets and paper lists. Learn how to switch to smooth digital check-in, from small seminars to large conferences.
The problem with traditional methods
You spent weeks preparing your event. Speakers are confirmed, the venue is booked, invitations have gone out. On the day, at the entrance, someone frantically searches for a first name on an Excel list printed in 8-point font while the queue grows behind them.
That classic scenario repeats at every event.
The issue is not a lack of organization — it is that the tools used were not designed for check-in. Excel is a spreadsheet, not an entry-management tool. Paper lists do not update in real time, do not sync, and do not generate any report afterwards.
What a dedicated check-in tool changes
Event check-in software solves three concrete problems:
1. Instant search
Instead of scanning a list top to bottom, a check-in tool lets you find an attendee by first name, last name or email in under a second. At an event of 200 people, the difference is huge: from 30 seconds per person to under 5.
2. Real-time check-in across multiple entrances
With two or three entrances, paper lists inevitably create duplicates or missed check-ins. With a digital tool, every check-in is recorded instantly and visible to all greeters at once. The same attendee cannot be checked in twice.
3. Live statistics
How many people have arrived? What is the attendance rate 30 minutes before start? Who is still missing? That real-time information helps you adapt the program if needed: start 5 minutes late, follow up with no-shows, and more.
Steps to digitize your check-in
Step 1: Prepare your attendee list
Whatever solution you choose, everything starts with a clean list. The minimum useful fields are:
- First and last name (watch for duplicates if you have namesakes)
- Email address (useful as a unique identifier)
- Optionally: company, status (VIP, speaker, press…)
If registrations come from several sources (online form, manual entries, partners), consolidate everything into one file before importing. A 30-minute cleanup beforehand prevents many surprises on the day.
Step 2: Choose the tool that fits your scale
Not every tool is built for the same needs. The key question is: how many attendees do you expect, and what is your budget?
An internal event of 50 people has very different requirements from a trade show with 2,000 visitors. The right tool covers your exact case without making you pay for features you do not need.
Criteria to evaluate:
- List import (CSV, Excel)
- Fast search by name or email
- Simultaneous access from multiple devices
- Attendance report export after the event
- GDPR compliance (data processed in Europe)
Step 3: Test before the day
This is the step most often skipped — and the most important. Run a full test a few days ahead: import your real list, check in 10 fictional attendees from two devices at once, and verify that the attendance report generates correctly.
A problem found a few days early can be fixed calmly. The same problem at 9 a.m. on the day, with attendees waiting, is another story.
Step 4: Brief the welcome team
Even the best tool does not replace a briefing. Show your welcome team how to search for an attendee, how to handle an unregistered guest (waiting list? direct entry?), and what plan B is if the app does not respond (screenshot of the list? backup paper list?).
What you gain in practice
For an event of 300 attendees with 2 greeters:
| Paper list | Digital tool | |
|---|---|---|
| Average time per check-in | 15-25 seconds | 5-10 seconds |
| Estimated time to check in 300 attendees (2 desks) | ~38-63 minutes | ~13-25 minutes |
| Maximum queue | 20-120 people at arrival peaks | 3-20 people at arrival peaks |
| Attendance report | Manual, after the event | Automatic, in real time |
| Duplicate handling | Impossible to avoid | Blocked natively |
These figures are realistic orders of magnitude observed in the field, with arrivals concentrated in the first 30-45 minutes. For 300 people, welcome-desk time savings are usually 25 to 40 minutes, with an even stronger impact on queue flow. Most of all, you avoid the stress of a queue growing from the moment doors open.
Going further
Whether you run several events a year or just one, the ROI of a dedicated check-in tool is almost immediate. Time saved in preparation and on the day easily adds up to several hours per event.
Gatesly is built exactly for this need: import your list, choose the plan that matches your attendee count, and manage check-in from any device. Discover the plans →
