When internal events get as demanding as public ones

"Large event" is often associated with trade shows or public conferences. But an annual convention with 800 employees, a back-to-work kick-off with 400 people from several sites, or a company party for 1,500 guests raise exactly the same logistics challenges as a public event — plus a strong internal image requirement, since it's your own leadership and your own teams judging the result.

Leadership expects precise reporting. How many people actually attended versus how many registered? What's the attendance rate by site or department? These numbers are often used to justify next year's event budget.

Annual convention or leadership seminar (300 to 1,000 people)

  • Several welcome desks running in parallel, sharing the same list to avoid duplicates
  • Attendee groups by site or department, for a tailored welcome (e.g. a dedicated line for speakers or the leadership team)
  • Badges printed on-site or ahead of time depending on your setup
  • Attendance report export by entity, useful for splitting budget across subsidiaries

Kick-off or back-to-work meeting (150 to 500 people, often multi-site)

  • Real-time statistics to track attendance while the event is running, useful if a leadership address is timed to an arrival threshold
  • Branding the check-in screen with company colors and logo, for an experience consistent with the rest of the event

Company party or company-wide event (500 to 2,500 people)

  • Several simultaneous entrances with centralized, live check-in tracking
  • Searchable check-in history for any question that comes up afterwards (security, access control)
  • Managing plus-ones or additional guests within the same registration

A format that doesn't suit every size

Let's be honest about this: this setup is worth it once logistics coordination becomes a real challenge — several hundred people, multiple entrances, or a need for precise reporting. For a 20-to-30-person team meeting in a single room, a paper list or spreadsheet is more than enough: a dedicated tool isn't justified there, either in cost or in setup complexity.
